Opportunity Overview:
Cohere Health is seeking a highly organized, detail-oriented, and resourceful Senior Proposal Specialist to join our Growth team. Reporting to the Sr. Director, Sales Operations, you will manage the end-to-end response process for Requests for Proposals (RFPs), Requests for Information (RFIs), and other customer-facing questionnaires and assessments that support new business and client retention. You will partner closely with Sales, Solutions, Product, Clinical, Legal, Information Security, Compliance, and other subject-matter experts to develop accurate, compelling, and compliant responses that meet customer requirements and deadlines.
This is a hands-on role for someone who excels at project management, written communication, and cross-functional coordination — and who can use existing proposal content, approved resources, and AI-enabled tools to develop high-quality first drafts efficiently. In addition to RFPs and RFIs, you will coordinate information security assessments, compliance questionnaires, and customer due diligence requests, helping ensure our response processes are organized, scalable, and continuously improving.
What you’ll do:
- Own the end-to-end project management of RFPs, RFIs, and other customer-facing proposal requests — from intake and kickoff through coordination, review, approval, and submission
- Partner with Sales and Solutions to understand customer requirements, evaluation criteria, submission instructions, timelines, and the objectives of each response
- Develop project plans, workback schedules, milestones, and clear ownership across contributors to ensure responses are completed accurately and on time
- Coordinate cross-functional contributors and SMEs — establish deadlines, facilitate working sessions, follow up on outstanding items, and communicate project status and risks
- Assemble, format, review, and quality-check completed responses to ensure accuracy, completeness, consistency, readability, and alignment with customer instructions
- Manage review cycles, consolidate feedback, obtain required approvals, and coordinate final submission
- Leverage Cohere Health's approved proposal content library, prior responses, product documentation, and other trusted internal resources to develop high-quality first drafts
- Interpret customer questions and requirements, identify the most relevant existing content, and tailor responses to the specific question, customer, and context
- Use approved AI tools and other productivity solutions to accelerate content discovery, organize information, draft responses, and improve efficiency while validating outputs against authoritative sources
- Identify missing information, content gaps, conflicting answers, and outdated material; coordinate with appropriate SMEs and content owners to resolve them
- Project-manage information security assessments, compliance questionnaires, vendor assessments, and other customer due diligence requests from intake through completion
- Serve as the central coordinator for security and compliance requests — tracking requirements, assigning questions to appropriate owners, consolidating responses, and managing deadlines
- Maintain reliable tracking of active requests, deadlines, submissions, and response history to provide visibility into workload, status, and upcoming deliverables
- Identify opportunities to improve response workflows, project tracking, templates, content reuse, and quality-control practices
- Build productive working relationships across Sales, Solutions, Marketing, Product, Clinical, Legal, Information Security, Compliance, and other teams
What you’ll need:
- 4+ years of experience in proposal management, project management, sales operations, or a related role involving complex, deadline-driven deliverables
- Experience supporting large, complex RFPs in healthcare, health technology, or enterprise SaaS
- Exceptional organizational skills and attention to detail, with the ability to track deadlines, manage competing priorities, and follow through on outstanding deliverables
- Experience coordinating cross-functional contributors and managing multiple projects or requests simultaneously
- Strong written communication and editing skills, with the ability to synthesize information from multiple sources into clear, accurate, well-organized responses
- Demonstrated ability to use existing documentation, content libraries, prior responses, or other source materials to develop and tailor first drafts
- Strong stakeholder management skills — ability to clarify requirements, obtain input, drive accountability, and escalate risks when needed
- Sound judgment and critical-thinking skills, including the ability to recognize gaps, inconsistencies, and information that requires SME validation
- Ability to learn technical and business concepts quickly and coordinate effectively with technical and non-technical contributors
- Proactive, self-directed working style with the ability to manage work independently while collaborating across a matrixed organization
- Comfort working in a fast-paced, evolving environment and adapting to changing priorities and processes
- Technology proficiency: Responsive (RFPIO) response management software, Google Suite, and Microsoft Office
- Experience maintaining a centralized proposal content library, knowledge repository, or reusable response database is a plus
- Familiarity with information security, privacy, compliance, or technical due diligence processes is a plus
- Experience using AI tools to research source material, develop first drafts, improve content reuse, or streamline response workflows is a plus
- Experience with tools like Slack, Salesforce, Adobe, and Monday.com is a plus
