About the Role

Neural Concept is building the future of AI-powered engineering software. As Assistant to the CRO, you will provide high-level executive support while helping ensure the smooth day-to-day operation of our Munich office.

You will manage the CRO’s schedule, travel, communications, and administrative processes, while also supporting office coordination and events. This is a hands-on role for someone proactive, highly organised, discreet, and comfortable managing multiple priorities in an international scale-up environment.

What You Will Do

  • Manage the CRO’s calendar across time zones, prioritise requests, resolve conflicts, and protect focus time.

  • Organise domestic and international travel, including itineraries, bookings, and last-minute changes.

  • Prepare meeting agendas, briefing notes, follow-ups, and internal communications.

  • Coordinate customer meetings, sales events, conferences, leadership meetings, and offsites.

  • Process and track invoices, expenses, purchase orders, and vendor requests in collaboration with Finance.

  • Support commercial leadership routines, including meetings, business reviews, and action tracking.

  • Provide general office support in Munich, including meeting room coordination, office supplies, visitor management, mail, facilities requests, and relationships with office vendors.

  • Help organise internal office events and ensure smooth on-the-day execution.

  • Proactively identify and resolve administrative, logistical, or office-related issues.

Who You Are

  • 3+ years of experience as an Assistant, Executive Assistant, or Personal Assistant, ideally supporting a senior leader in a technology or scale-up company.

  • Experience managing complex calendars, travel, events, invoices, expenses, and vendors.

  • Strong organisational and communication skills, with excellent written and spoken English and German mandatory.

  • Proficient with tools such as Google Workspace, Slack, and Notion.

  • Autonomous, dependable, discreet, and comfortable handling confidential information.

  • Able to anticipate needs, manage competing priorities, and work effectively with senior stakeholders, customers, and international teams.
